We may collect account details, authentication information, company/workspace information, bid records, pasted bid invite text, uploaded files and screenshots, selected Google Drive files you import, extracted fields, review decisions, usage events, billing status, support requests, and basic technical information needed to operate the app.
BidDesk AI uses Supabase Auth for email/password and Google sign-in. Google sign-in is for authentication only. Google Drive import uses a separate selected-file authorization flow and does not give BidDesk AI access to your email account.
Users may provide bid invitations, screenshots, PDFs, Word documents, spreadsheets, copied email text, plan excerpts, specs, forms, addenda, and related text by uploading, pasting, or selecting specific files from Google Drive. BidDesk AI only processes materials users choose to add. The Google Drive import is limited to selected files and does not scan Drive, sync folders, or store refresh tokens. Do not add documents or screenshots you do not have the right to process or share with service providers used by the app.
BidDesk AI may send bid text, extracted document text, and user-requested prompts to OpenAI or similar AI service providers to generate structured extraction, summaries, risk flags, draft emails, and support responses. AI output is a draft or suggestion and should be reviewed by a human.
Payments and subscription management are handled by Stripe-hosted checkout and billing pages. BidDesk AI does not collect card numbers directly. Billing identifiers and subscription status may be stored so plan access can be managed.
The app uses cookies required for authentication and session handling. BidDesk may record sanitized product usage events such as page views, upload completion, billing portal opens, and AI feature usage to operate and improve the service. These events are designed not to store raw bid document contents, payment card data, Google access tokens, API keys, or signed file URLs. Optional Firebase Analytics may also be used when configured.
Data is used to provide the app, authenticate users, create organizations, process bid invitations, extract and display bid details, generate draft artifacts, maintain audit logs, support billing, troubleshoot issues, improve product quality, and respond to support requests.
BidDesk AI may share data with infrastructure and product service providers such as Supabase, OpenAI, Stripe, Firebase/Google hosting or analytics services, and Google APIs used to fetch only the Drive files you select. We do not sell bid documents as a data broker.
BidDesk AI generally keeps account, organization, bid, document, review, activity, and billing records while the account or workspace is active, unless deletion is requested, retention tooling changes, or retention is legally or operationally required. Google Drive refresh tokens are not retained.
The app is designed around Supabase RLS, server-only service-role operations, private environment variables, hosted auth, and human control before outbound email. No system is perfectly secure, so teams should avoid uploading documents they are not allowed to process.
