Guide

Product Overview

BidDesk AI helps subcontractors convert uploaded bid packages, selected Google Drive files, screenshots, PDFs, specs, spreadsheets, and pasted invite text into organized bid records with deadlines, scope, contacts, risks, drafts, and status.

Guide

Getting Started

Create an account, choose a plan, confirm your organization workspace, then open Add Materials to upload files, choose selected Google Drive files, add screenshots or spreadsheets, or paste bid invite text.

Guide

Uploading Bid Packages

Use Add Materials -> Upload bid package to add PDFs, DOCX files, spreadsheets, CSV/TXT files, specs, addenda, copied email files, PNG/JPG/WebP screenshots, or selected files from Google Drive. iPhone HEIC/HEIF images are accepted when conversion is available. Add optional context in one note box, then BidDesk extracts the project title and opens an editable bid package.

Guide

Screenshot Uploads

Screenshots work best when the email text, due date, contact, and project details are visible. Upload a screenshot of an email invite, planroom invite page, or bid details screen, then edit any AI-extracted field that needs correction.

Guide

AI Document Workflow

After upload, BidDesk stores the files privately, extracts document text or screenshot text, identifies deadlines, scope, contacts, forms, risks, warnings, exclusions, and next actions, then opens the editable bid package.

Guide

Pricing And Billing

Plans are selected from Pricing and processed through Stripe Checkout. Stripe Customer Portal handles subscription management when configured.

Guide

Google Sign-In

Google sign-in is authentication only. Google Drive import separately asks for selected-file access and only imports the files you choose.

Guide

AI Features

AI Bid Intake, Risk Radar, Bid Fit Score, Ask BidDesk, Deadline Guard, Draft Email Assistant, and Estimator Briefing are designed for human control and editable outputs.

Guide

Safety And Human Control

BidDesk does not send emails automatically. AI extraction and generated copy should be checked before your team relies on dates, requirements, risks, or decisions.

Guide

Troubleshooting

If sign-in, checkout, upload, extraction, or dashboard loading fails, contact support with your email, company, browser, the page URL, and the exact error message.

FAQ

Common BidDesk AI questions

ProductIs BidDesk AI a marketplace?

No. BidDesk AI is not a marketplace, planroom, or lead broker. It helps your team organize bid invites, extracted deadlines, documents, risks, and draft follow-up inside your own bid workflow.

ProductIs this for subcontractors or GCs?

BidDesk AI is built first for subcontractors and small contractors. General contractors may understand the workflow, but the MVP is focused on the subcontractor side of receiving, reviewing, and responding to bid invitations.

WorkflowWhat is a bid package?

A bid package is one opportunity in BidDesk: the original email, attachments, extracted dates, scope, contacts, AI summary, review fields, draft emails, checklist, and pipeline status.

WorkflowHow do I upload a bid package?

After signing in, open Add Materials and choose Upload bid package. Add PDFs, DOCX files, spreadsheets, CSV/TXT files, specs, addenda, copied email files, PNG/JPG/WebP screenshots, or use Import selected files from Google Drive to choose specific files. iPhone HEIC/HEIF images are accepted when conversion is available. BidDesk creates the bid package and sends it to review.

WorkflowCan I upload a screenshot of a bid invite?

Yes. Upload a PNG, JPG, JPEG, or WebP screenshot from a phone, email invite, planroom page, or bid details screen. BidDesk attempts to convert iPhone HEIC/HEIF images to JPEG first; if conversion fails, upload a JPG or PNG version. Screenshots work best when the due date, contact, project name, location, and scope are visible.

WorkflowWhat happens after I upload documents?

BidDesk stores the uploaded or selected Google Drive files under your organization, extracts document or screenshot text, uses AI and deterministic parsing to identify the project title, GC/company, location, due dates, site visits, scope, contacts, forms, warnings, exclusions, and next actions, then shows editable review fields with confidence scores.

BillingWhat counts as an AI document page?

An AI document page is a page or page-equivalent reviewed by AI for extraction, risk review, summaries, or Ask BidDesk. The exact counting rules may be refined as the MVP matures.

SafetyDoes BidDesk send emails automatically?

No. BidDesk AI generates draft email text only. A human must review, edit, copy, or open the draft in an email app before anything is sent.

AuthDoes BidDesk connect to my email inbox?

No. Google sign-in is only authentication. BidDesk only works with files, selected Google Drive files, screenshots, or text you choose to add.

AuthCan BidDesk read my whole inbox?

No. Google sign-in is only authentication. BidDesk only processes the uploaded files, selected Google Drive files, screenshots, or pasted text you choose to add.

AuthDoes BidDesk scan my Google Drive?

No. Google Drive import asks for selected-file access only. BidDesk imports the files you pick in Google Picker and does not scan Drive, sync folders, or store refresh tokens.

WorkflowWhat does the Draft Email feature do?

Draft Email creates editable RFI, supplier quote-request, follow-up, decline/no-bid, and internal summary emails using bid details already in the package. It does not send them.

WorkflowCan I edit AI-extracted dates and bid details?

Yes. BidDesk is human-in-the-loop. You can review, accept, reject, or edit extracted fields such as due dates, site visits, scope, contacts, and requirements before relying on them.

WorkflowCan I change bid status manually?

Yes. Bid packages can move through New, Reviewing, Waiting on Info, Ready to Bid, Submitted, and Declined. Status changes are intended to stay under team control.

BillingHow does Stripe billing work?

Plan checkout and subscription management use Stripe-hosted pages. BidDesk does not collect card numbers directly. Billing status syncs back through Stripe webhooks when configured.

BillingCan I cancel?

Subscription cancellation is handled through Stripe Customer Portal when it is enabled in the Stripe account for the app. Billing questions can also go through support.

SafetyIs AI output final or should I review it?

Review it. AI output is a draft or suggestion. Contractors should verify dates, requirements, scope, exclusions, forms, and any business decision before acting.

SafetyDoes BidDesk provide legal or contract advice?

No. BidDesk can flag language that may deserve review, but it is not a lawyer and does not provide legal, insurance, bonding, or contract advice. Ask a qualified professional for those decisions.

SupportHow do I contact support?

Use the Contact page or email the support address shown there. Include your company name, the issue, and whether it is a support, billing, sales, or demo request.
